Setup

Create a New Church Account

Register your church, activate the first administrator, and continue into church setup and billing.

Use this guide when your church does not already have a Vigilant Church account. The first administrator establishes the church account and becomes its owner. If your church already uses Vigilant, ask an administrator to invite you instead of creating another church.

Register your church

  1. Open church registration in a web browser.
  2. Enter Church name, Your name and Email address. Use an inbox you can open immediately and review any suggested spelling correction.
  3. Select Continue with email. The initial form does not ask for a password.
  4. On Check your email to continue, verify the displayed email address and delivery status. Your church details can be saved even when the email has not arrived.
  5. Open the newest verification email and follow its link to create your password or confirm your existing account.

Activate the administrator account

Confirm the church name and email on the verification page. For a new Vigilant identity, enter and confirm a password of at least 12 characters. For an existing identity, use your current password and complete MFA when requested. A legacy invitation can ask only for activation confirmation.

Select Continue to Church Setup and wait for confirmation. If the link was already used or the account is active, choose Sign in to Church Setup. Select the intended church if your account belongs to more than one.

Activation starts the billing setup window shown for the church. The subscription trial begins separately through Checkout. Never create a second account or change an existing password merely to join another church.

Continue church setup

New churches may open a guided setup. Review the church details and first campus, then save optional campuses, services, procedures and team contacts. Follow the setup screens to save required information and finish or skip optional steps. Send invitations explicitly after reviewing their recipients; finishing setup does not send them automatically.

Follow Complete Guided Church Setup for all six steps, required details, saving progress, activating locations and services, and selecting invitation recipients.

If guided setup does not open, use Church Admin to review the church and Main Campus, add service times and invite the team. The same administration areas remain available after setup.

The church's owner, primary contact and people with Church Admin access are separate concepts. Adding a contact does not give that person an account or administrative access.

Check the billing deadline

For churches in guided setup, the billing setup window begins at activation, while the subscription trial starts through Checkout. Resending an activation link does not restart the deadline. Existing churches may have different previously assigned deadlines. Use the dates and terms shown in Billing and Checkout for your church.

If registration or activation stops

  • No email: check the displayed address, inbox and junk folder. Accepted for sending is not the same as delivered. A delayed status means the provider is still being checked.
  • Wrong address: select Change email address, enter the corrected address and choose Save email and send link. Your church details are kept, and the previous link stops working.
  • Resend: wait for the displayed cooldown, then use Resend verification email. For a bounced or unavailable address, correct it or contact Support instead of repeatedly resending.
  • Account is active: select Continue to Church Setup and sign in with the intended account.
  • Expired registration session: follow Start a fresh signup only when the screen instructs you to. Do not create a second church just because email is delayed.
  • Unexpected error: contact Support with the church name, administrator email, delivery status and error text. Never send your password, MFA code or verification link.
