Manage Training Events and Attendance

Schedule a training, review its audience, record actual attendance, and provide materials or a recording.

Manage training events and actual attendance in the web app under Trainings & Certifications > Trainings & Attendance. Viewing, responding to invitations, maintaining records and managing events have separate permissions. Native Trainings screens focus on reading and RSVPs; use the web for event, roster and attendance administration.

Schedule a training

  1. Select Schedule training and enter the event name, date and relevant description.
  2. Choose the intended roles and campuses. Review the expected audience rather than assuming every member is invited.
  3. Enter the location and optional live meeting link.
  4. Add a start and end time and confirm the timezone when the event needs RSVPs or countdown reminders. Check the local date and AM/PM values before saving.
  5. Save and reopen the event to verify its schedule, audience and details.

Date-only events can be recorded, but a start time is required for responses and timed reminders. Upcoming event notices go to eligible members, subject to current access and notification preferences. A newly saved event does not create actual attendance or award certifications.

Review responses and record attendance

Expand Who’s planning to attend? to review Yes, Maybe, No and Not responded. A planned Yes is not a completed attendance record. In the separate attendance controls, record each person's actual result after checking with the instructor or leader.

An unrecorded person is not automatically absent. Review the correct event and campus before saving attendance. If another leader has changed the event or roster, refresh and review the latest record before retrying. Use Attendance report for the available filters and exports.

Change the schedule or lifecycle

Changing the event date or start time resets RSVPs; attendees need to answer for the new schedule. Editing the description, location, end time or links preserves existing responses.

Use the event's cancel, archive or restore controls only when appropriate, and review the confirmation. Cancelled and archived events retain history and disable response and material edits. Cancellation also prevents attendance changes. Duplicating an event prepares a new draft; review its date and audience and add materials again. It does not carry over attendance or RSVPs.

Add materials and recordings

Save the event before adding PDF or DOCX files under Training materials. See Open and Manage Training Materials for file limits and native differences.

The Recording link is separate from the live Meeting link. Save the recording URL on the event. Eligible past, non-cancelled trainings show Watch recording when a valid link is present; the link can require access on the hosting service. Do not mark a person attended merely because a recording is available.

If management is unavailable

Confirm the church feature, effective permissions and campus scope. A leader may be able to view an event without managing its full audience. Ask an administrator to check Manage Readiness Records or Manage Readiness Requirements for the action involved, rather than granting unrelated access.
