Manage Certifications and Readiness Records
Maintain certification records and reporting requirements without confusing them with scheduling eligibility.
Use Trainings & Certifications in the web app to maintain certification, training and background-check completion records within your authorized campus scope. Church configuration and effective permissions control viewing and editing.
Define the certification catalog
Open Catalog & Requirements. Catalog entries define the certification types your church records and any default validity period. The initial catalog can include First Aid, CPR, AED, Basic Life Support, Bloodborne Pathogens and Stop the Bleed. Review the defaults before using them.
Creating a catalog entry does not award a certification or make it required. A blank default validity is unconfigured, not a declaration that a qualification never expires. Use the actual issuer's expiration date when entering a member's record.
Record a member's certification
- Create the member first, then open their saved profile or the authorized certification record controls.
- Choose an active certification type and record the earned date, expiration and supported evidence reference.
- Verify the details against the actual certificate and save.
- Reopen the record or Certifications report to confirm the result.
Any member can hold an active certification type, regardless of role or campus. Access to view or edit their record still follows your authorization. Skills selected on a profile, an invitation, an RSVP and a training event do not automatically award a certification.
Set reporting requirements
Use Certification Requirements to target the roles and campuses for which your church expects a certification. Requirements are advisory for readiness reporting. A missing or expired certification does not automatically block scheduling, sign-in or other app access. Apply your church's assignment policy separately.
Changing a catalog's default validity does not rewrite expiration dates already stored on earned records. If deactivating a type prompts you about active requirements, review that scope before confirming; existing earned records remain historical records.
Review attendance and background-check records separately
Trainings & Attendance records actual event attendance; RSVPs record intended attendance. Background Checks tracks completion and renewal information. Keep detailed background-check findings and unnecessary sensitive documents outside these routine record fields.
A missing or expired status is a prompt to review the source record with the responsible leader. It is not a substitute for the church's qualification, safeguarding or personnel decisions.
Resolve access or record problems
Use the web app for catalog, requirement, attendance and certification administration absent from native Trainings. Confirm the church, campus and specific readiness permission before editing. Refresh after a conflicting save and verify the saved result rather than entering duplicate records.
